Role Description
The Coordinator, Volunteer Programs & Services reports to the Executive Director Committee or, in their absence, the President (or delegate) of the New West Hospice Society (NWHS) Board of Directors. The coordinator manages the recruitment, screening, orientation, training, assignment, support, supervision, and credentialing of all NWHS volunteers. Client volunteers will provide service in the home, hospice, hospital, and occasionally, long term care.
Program Management
- Function as first staff contact for referrals, all client services and process all necessary intake paperwork.
Register clients and family in the database. - Advocate for volunteerism by sharing the benefits of volunteering with external partners, the health community, and the public.
- Fill needs for volunteers for festivals, events, and administrative tasks, as needed.
- Coordinate care & support with community members and other agencies.
- Function as a member of the Fraser Health Palliative Care Team for New Westminster ensuring that clients receive the services requested, attending rounds and other required meetings.
- Supply and present information and education about hospice, bereavement, palliative care, and compassionate communities to the public.
- Participate in all assigned NWHS events.
- Take part in an annual reflective session.
- Work with bereavement services, as needed.
Volunteer Management
- Maintains sound volunteer philosophy, policy, and procedures (including risk management) within the organization.
- Recruit and screen all potential volunteers for suitability and necessary skillset.
- Assign Compassionate City Crew volunteers to clients and facilitate the match.
- Place volunteers with other NWHS programs, as needed.
- Keep accurate record of files and organize information efficiently.
- Maintain confidentiality and privacy of clients and community members.
- Coordinate and facilitate training, education, and written materials for volunteers.
- Ensure that sufficient volunteers are available to manage all needs promptly.
- Plan and conduct monthly volunteer support and education meetings.
- Advocate and communicate the role of the volunteers within all programs.
- Contact, evaluate, and review each volunteer regularly.
- Prepare reports on volunteer program statistics including referrals, follow up actions, assignments, volunteer performance, and volunteer hours for Fraser Health and NWHS’s needs.
- Assist in creating and managing the volunteer program budget.
- Evaluate all current volunteer programs to maximize effectiveness, scope, and reach.
- Review volunteer roles and job descriptions annually
- Collaborate with the Executive Director Committee and staff to develop new volunteer programs to coincide with the needs in the New Westminster community.
- Receive anonymous volunteer feedback via an annual survey of volunteers that supplies insight into volunteers’ experiences in supplying services and supporting clients.
Required Knowledge, Skills, and Abilities
- Knowledge of volunteer management best practices as provided by Volunteer Management Professionals of Canada (VMPC) and Volunteer BC
- Proven strength in effective leadership and supervisory skills
- Demonstrated strong interpersonal, oral, and written communication skills.
- Demonstrated strong computer, budgeting, and organizational skills.
- Demonstrated strong group facilitation and public speaking skills.
- Ability to work independently, as well as collaboratively with multiple teams and stakeholders.
- Understanding of health care delivery system in New Westminster and BC
- Comfortable engaging with the topics and issues surrounding dying, death, loss, and grief.
Education and Experience
- Certificate in Volunteer Management or equivalent experience
- Minimum 1-2 years’ experience in a volunteer coordination role needed.
- Bachelor’s degree in social sciences, Health Administration, or related fields is an important asset.
- Facilitation, training, and public speaking experience necessary.
- Experience in a non-profit and health care settings is an asset.
- Non-profit volunteering experience is a requirement.
Position Details
- Combination of working from home and office
- Part-time, Permanent
- $28 per hour @ 8 hrs. per day
- 3 days per week
- Meetings held in person and on Zoom.
- 3-month probationary period
